Erasmus+ Learning Mobility

Essential Points

  • The following information and documents cover your leave of absence with the decision of The Faculty of Letters Executive Board before you leave, add and drop processes, and the inclusion of your equivalent courses and grades in your transcript after your return.
  • Please visit the EU Office website for general procedures, selection requirements, documents and the application calendar.
  • You need to fill in the listed documents as a .docx file on your computer and submit a wet-signed computer printout to the Erasmus Coordinator of your Division. Documents filled out by hand and/or without a wet signature will not be accepted.
  • It is the responsibility of the student to ensure that all necessary attachments have been duly prepared and approved before the submission of the petition to the Erasmus Coordinator.
  • The student is responsible for the timely and complete submission of the documents to the Erasmus Coordinator of the Division.

1: Before Leaving

Procedure

Inform your academic advisor that you will be participating in the Erasmus Student Learning Mobility Program.

Fill out the student permission petition and submit it to the Erasmus Coordinator of your Division with the attachments approved. The Erasmus program of the student who leaves abroad without submitting the petition with the attachments is considered invalid and the course and grade equivalency procedures will not be carried out.

If you are pursuing additional programmes such as Double Major Programme and/or Minor Programme, you should inform the Coordinator of the Division  since the permission petition will be prepared accordingly.Fill out the Learning Agreement Before Mobility with the assistance of the Division Coordinator.

2: Add and Drop Process

 

This procedure only applies if you have made a change during the add/drop period at the university where you applied for Erasmus.

STEP 1: Download the Student Add Drop Petition and fill it out with your own information on the computer, print it out, sign it with a blue ink pen, and scan it in color. 

STEP 2: Download the Learning Agreement During Mobility and specify the courses you dropped and replaced in the table (A) at the top of the form in order, and with the reasons included. 

Step 3: Submit the Learning Agreement During Mobility and the Learning Agreement Before Mobility to the designated e-mail address of the coordinator for evaluation and signature, thus ensuring the equivalence of the newly added courses and the approval of the mentioned form.

STEP 4: Ask the coordinator of the university where you applied for Erasmus to sign the Learning Agreement During Mobility that your coordinator has signed and sent to you, and send it back to your coordinator's email address along with the signed Student Add-Delete Petition.

Description: It is the student's responsibility to attend all courses committed to in the Learning Agreement Before Mobility and not cancelled in the Learning Agreement During Mobility and to document them on their transcript.

3:Upon the Return

Process

STEP 1: Download the Returning Student Equivalence Petition, fill it out on the computer with your own information, print it out and sign it with a blue ink pen. STEP 2: Download the Proof of Recognition and fill in the Courses Counted Equivalent at Hacettepe University, and H.U. Grade columns, and leave the following tables blank.STEP 3: Send the Proof of Recognition to the division coordinator for grade conversion and review.

 

 

Description: In the table titled Courses Taken at the Host University, write down the courses you have taken during the Erasmus+ Programme with their codes, ECTS credits and local grades. Courses must follow the order in your transcript.

In the table titled "Courses Considered Equivalent at Hacettepe University", write down the Hacettepe University courses with their codes and credits that are considered equivalent to the courses in the Learning Agreement you prepared with your coordinator before your departure and in the During Mobility Learning Agreement.

If there are any changes you made to the During Mobility Learning Agreement, write down the last course that is considered equivalent to the table. The courses in the equivalence table should reflect ALL the courses and your transcript that you have committed to take in the Learning Agreement and During Mobility Learning Agreement one to one. The student is responsible for the courses that are not taken and therefore not equated even though they are committed in the Learning Agreement and During Mobility Learning Agreement.

 

STEP 4: Submit the Returning Student Equivalency Petition with all approved attachments to your coordinator.

The post-return equivalence process takes approximately four to six weeks, provided there are no deficiencies or inaccuracies in the documentation and information.
